The incumbent provides data management and analysis, operation support including administrative and technical support for the overall BHS Service which is comprised of 21 different programs, including outpatient mental health services, primary care mental health integration, homeless services, peer support, substance use, PTSD Clinical Team and transition care management, each with accompanying directives and performance measures. Duties include, but are not limited to:
Supports the BHS service's operation by utilizing, modifying and building reporting systems to present data and information on program status to drive program decision making. Provides program support, obtains and organizes files, and retrieves information and numerical data for use in preparing status reports, briefings, and presentations. Provides data and information to the various program managers and Chief of BHS to measure the progress and effectiveness of operations against objectives. Provides the Chief of BHS with data reporting, data entry, and development of reports and other documents. Analyzes records and data collected through the BHS service for detail and accuracy. Reviews data and performance monitors being tracked to ensure the usefulness of the data. Generates detailed reports as requested on service consult time statistics and procedures. Tracks and reports on clinic open access, including compiling historical usage and future forecasting models to enable the Chief and program managers to make timely decisions on access blocking. Collects, extracts, compiles, filters and reports on any and all other data as needed by the service or directed by one of the program managers or the Chief of BHS. Provides staff support in the maintenance of data, workload tracking, projects and all necessary or requested non-clinical support as needed or requested by the Chief of BHS or one of the program managers. Responsible for tracking, recording and reporting on clinic blocking and creating reports from the information. Collects, compiles and reports all review information, ensuring information is organized, timely and accurate. Assists and prepares for clinic-wide projects, communicating with group members, preparing documents and presentations, tracking deadlines, and other necessary tasks. Provides first line technical assistance troubleshooting issues within the clinic as needed. Uses the Veterans Health Information and Technology Architecture (VistA) and other relevant programs to access information in the Medical Center Computer System. Responsible for all PCMM activities within BHS, including but not limited to, building and populating teams accurately utilizing proper naming conventions, accounting for staff positions, descriptions, patient capacities and FTEE. Monitors national reports and creates necessary local reports; including inactive, relocated or non-assigned patients. Performs as the subject matter expert for BHS PCMM policies, directives, memos, and procedures, reporting to the Chief of BHS, program managers or staff any information that is pertinent to know. The position is mostly sedentary with daily requirements of intermittent standing, walking, bending, reaching, and stooping. Includes lifting to approximately 25 pounds. The position uses a keyboard to access a computer and use software to generate and update data and reports. Work Environment:
The incumbent will have office space within BHS. The work environment involves everyday risks or discomforts requiring normal safety precautions typical of office settings or commercial vehicles such as planes, trains, buses or automobiles. The work area is adequately lighted, heated and ventilated. Promotion Potential:
The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. One year of specialized experience (equivalent to the GS-5 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes:
knowledge and skill in applying analytical and evaluative methods and techniques to issues concerning the efficiency and effectiveness of current processes and procedures; knowledge of gathering and preparing data, tracking information, providing program support, obtaining and organizing files, and retrieving information and numerical data for use in preparing status reports, briefings, and presentations; knowledge and technical skill in developing data reports requiring some data analysis, compilation, and examination of the methods used in collection; knowledge and technical ability in use of Excel, MS Word, Excel, PowerPoint, Publisher, Adobe Acrobat; knowledge of telephone and computer processes; knowledge of medical terminology; ability to work independently with little oversight, properly and effectively utilizing service time and assets. There is no educational substitution for the GS-6 level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
